Sustainable Neighbourhood group - Committee elections
Each local Sustainable Neighbourhood group needs to hold a 'special meeting' (equivalent to an Annual General Meeting / AGM) to elect their committee members, between July - September each year.
The Alliance requires that each local Sustainable Neighbourhood group hold their special meeting prior to the Alliance AGM, usually held in October or November each year.

- Set a time, date and venue, and invite all members and contacts with plenty of notice (at least 2 weeks). Online meetings are acceptable.
- Encourage everyone in the group to renew their membership. Visit the membership page for forms for new members, and how to apply or renew.
- At the meeting, elect your committee. Declare all committee positions vacant (ie Chair, Treasurer, Secretary, and other positions relevant to your group) and ask for nominations from the membership to take on those roles. If more than one person is nominated for a role, take a vote to decide.
- Record the election results in your meeting minutes.
- Make sure all committee members have a good understanding of their role, and arrange to hand over all relevant information, documents, and undertake any training that is required. This guide will help your group understand the usual roles and responsibilities involved in managing a Sustainable Neighbourhood group.
- Update you group's Membership Register. The Alliance can help with this if required.
As a registered association the Alliance is required to keep an up to date Membership Register, with the name, address and contact details for each member, and the date their membership commenced. - Email your special meeting minutes and updated Membership Register to the Alliance: [email protected], by the end of September. This will allow us to update the Alliance Membership Register in preparation for the association AGM.
